Flopilot vs Notion: build your own space, or get one ready to use?
Notion is a very flexible toolbox; Flopilot is a ready-to-use project tool. It is not a question of better or worse, but of how you like to work.
Notion
Notion is a very flexible workspace made of pages and databases. You can build almost anything in it: a wiki, a project tracker, a knowledge base, often starting from templates.
Flopilot
Flopilot makes the opposite choice: a ready-to-use structure. Every project already has its tasks, its three views, its notes, its documents, its "To read" and its dashboard. There is nothing to design before you start.
What both of them do
- Rich notes, with headings, lists and checkboxes
- Tasks and projects
- Teamwork and sharing with guests
- A tool that opens in the browser
The differences of principle
Not a feature race: what each tool puts at the centre, and how it approaches the same needs.
| Criterion | Notion | Flopilot |
|---|---|---|
| Philosophy | Building blocks you put together to suit your needs | A ready-to-use project tool |
| Setup | Built from scratch, or from a template | Immediate: create a project and get to work |
| Documents | Files embedded in pages | Folders per project, files readable in the app, whole folders dragged in with their subfolders |
| Notes | The heart of the tool, very powerful | Rich notes, memos, checklists and freehand drawing, organised by project |
| Getting a document read | Usually through mentions and comments | "To read": a request, a deadline, and the list of who has read it |
| Data hosting | Check Notion's documentation on where data is stored | In France, on an OVH server |
Comparison written in October 2026 based on each tool's principles, not on an exhaustive list of features: those change quickly. Always check each vendor's website before choosing.
Which one is right for you?
Choose Notion if…
- You enjoy building your own tools and databases.
- You need a very rich company wiki.
- Someone on the team has the time to design and maintain the space.
Choose Flopilot if…
- You want to start working straight away, without designing a system.
- Your projects rely on lots of files (PDF, Word, spreadsheets, presentations).
- You want to track who has read the important documents.
- Hosting in France matters to you.
Moving from Notion to Flopilot
- Create a Flopilot project for each active project.
- If you export your task lists as Markdown or CSV, import them: the headings become groups of tasks.
- Drag the project's files and folders into the Documents tab.
- Copy the pages you still use into Flopilot notes, and archive the rest.
Frequently asked questions
Does Flopilot have databases like Notion?
No, and that is a deliberate choice. Flopilot offers a fixed, ready-to-use structure (tasks, notes, documents, links, dashboard) rather than databases to build.
Can I import my Notion pages into Flopilot?
There is no direct import from Notion. Task lists can be imported if you have them in Markdown or CSV, and Markdown files can be read directly in the Documents tab.
Is Flopilot suitable for a company wiki?
For a few reference documents organised by project and procedures your team needs to read, yes. For a very large wiki with hundreds of interlinked pages, a tool like Notion is still a better fit.
